Academic Policies

Trainee's Obligations

The student shall promptly provide all such personal information, including any medical information, as CFI may request from time to time during the Term in accordance with the CARS and the Personnel Licensing Standards in order to determine the Trainee's eligibility to enrol or remain in the Flight Training Program, along with any supporting documents requested by CFI.

CFI has the right to terminate the Trainee's enrollment forthwith and without any refunds in the event CFI determines that the Trainee intentionally provided or failed to correct false or erroneous information at the time of enrollment or during the course of the Flight Training Program.

CFI hereby confirms that upon request by any applicable Government Authority, it may share any such personal information concerning the Trainee with such Government Authority or as it directs.

The Trainee agrees and undertakes to engage in flight training diligently and in good faith, with a view to completing the Flight Training Program and obtaining the applicable permit, licence or rating within a reasonable period of time.
 

The Trainee shall attend all scheduled ground and airborne training sessions and complete the prescribed number of hours of instruction in accordance with the CARS and Personnel Training Standards.

 

In the event the Trainee is unable to attend a training session, whether during ground instruction or airborne instruction, the Trainee shall provide as much advance notice to CFI as possible.

In the event the Trainee fails to attend scheduled training sessions without reasonable justification or prior notice to 

CFI on more than two (2) occasions CFI shall have the right to

suspend or terminate the Trainee's enrolment in the Flight Training Program. 

During the Trainee's enrolment in the Flight Training Program, the Trainee shall comply with the CFI's training manual, standard operating procedures, safety management system and all instructions and directions provided by the Flight Instructors.

At all times during the Flight Training Program and when attending at CFI's facilities, the Traine shall conduct himself or herself in a professional and respectful manner, and with a paramount regard to the safety of all persons.  CFI strives to maintain a healthy, safe and respectful environment for all of its employees, Flight Instructors and trainees.  Any abusive, disrespectful, unsafe or illegal behaviour or conduct by the Trainee, including being under the influence of alcohol or drugs during training sessions, failure to follow instructions, harassment of any person including other trainees, flight instructors or CFI staff will not be tolerated, and may result in an immediate suspension or termination of the Trainee's  enrolment without refund of Fees or Deposits.

Student Records

 

A student’s record includes, as applicable, a student enrolment contract; evidence a student met all admission requirements and entrance examinations; financial records, attendance records; documentation of any dispute, grade appeals or dismissal; copies of study permits and practicum/work placement information.

 

CFI Flight Academy retains student records for a period of seven (7) years following the student’s withdrawal, dismissal or graduation.  After seven years, the student record is destroyed using a secure destruction method.

 

Within 60 days of a student completion of the program of study or withdrawal or dismissal, CFI Flight Academy uploads a copy of the students’ enrolment contract, transcript and diploma or certificate (if any) to an approved third-party vendor.  These records are retained for a period of fifty-five (55) years.

 

For short duration programs:

 

A student’s record includes a student enrolment contract; financial records and documentation of any dispute, grade appeals or dismissal.

 

Student records are kept for 8 months following the completion of a short duration program and are not archived.

 

Access to student’s records

 

Student records are maintained in a secure storage medium in a secure location.

Upon written request to CFI Flight Academy, a student may access his/her records.

Health Care for Out of Province and International Students

Canadian Students

If you are a student from another province or territory studying in Alberta and intend to move back home after your studies, you must maintain health insurance coverage with your home province.

If you stay in Alberta after your studies, you need to apply for coverage in Alberta after your studies are completed.
 

International Students

If you are a student from outside Canada, you may be eligible for AHCIP coverage.

Students under 18 years of age must be added to the AHCIP account of a custodian.

Students who have a 12-month study permit (valid for an Alberta educational institute) and who will reside in Alberta for 12 months or more are eligible for AHCIP coverage and should apply.

Students with study permits valid for more than 3 months, but less than 12 months, may be eligible for AHCIP coverage if their application is accompanied by a letter from the student confirming their intent to reside in Alberta for at least 12 months.

When to Apply for Alberta Health Care

It's important to apply for coverage within 3 months of your moving date:

  • If your application is received within 3 months of your arrival, your coverage will start on either the date you arrive in Alberta or the date signed on your study permit, whichever is later

  • If you do not register with AHCIP within the first 3 months of your Alberta residency, Alberta Health and Wellness will determine the date your coverage becomes effective

You will need to purchase this insurance for yourself and any family members accompanying you. Students under 18 years of age must be added to the AHCIP account of a custodian.

As an international student, even if you are eligible for the Alberta Health Care Insurance Plan (AHCIP), you may still want to consider purchasing additional coverage.

  • Please take note that Alberta health care covers only basic health expenses - it does not cover dental treatment or prescription drugs

  • Students who are ineligible to obtain coverage under AHCIP must purchase a private plan through an insurance company or agent, in their home country or on arrival in Canada

  • If you do arrive in Canada without insurance coverage, medical insurance providers are authorized to provide this service to those who apply within five days of arriving in Canada

Tuition Fees and Refund Policy 

The tuition fee will be paid as per Schedule “A” part of the Flight Training Enrolment Agreement signed by the student during the enrollment process. 

The cost of your training will be deducted from your account at the end of each session. (Pay as you Go)

 

A refund is possible as per our Flight Training Enrollment Agreement part 3 “Right to Cancel”. If a refund is requested under other circumstances than the one presented in part 3, to be eligible for a refund, you must notify in writing your intent to withdraw from a program, and you must meet the criteria described below.
 

  1. If a student submits a withdrawal request in writing directly to the CFI, the date the written request is received and date-stamped is the official withdrawal date for the purposes of determining refunds.

  2. Non-attendance or failing to pay does not constitute notice of withdrawal from a program. If a student leaves without submitting a withdrawal notice, the student is not eligible for a refund and is responsible for any outstanding fees.

  3. If a student is eligible and no longer wishes to continue the training, a refund will be issued to the student within 30 days of withdrawal.

  4. Students who have been sponsored by an agency, organization, or Indigenous band and students who have received a Canada, Alberta, or other provincial student loan will have any refund monies sent directly to their funder.

 

Financial Appeals and Refunds

Students who wish to request a refund due to special circumstances (e.g. documented family or medical emergency) may submit an appeal. The School Board has the authority for the approval of special circumstances.

  1. Appeals on refunds must be initiated within 30 days of withdrawal, end of term, or date of drop, whichever is first.

  2. Students must submit a request for appeal in writing to the CFI with appropriate documentation to support the appeal.

  3. Once the decision on appeals is made it is final.

 

Refunds for a Program or Course Cancelled by CFI Flight Academy

 

The academy reserves the right to cancel programs for operational reasons. If we cancel a program, all fees including non refundable deposit are refunded.

Student Complaint and Dispute Resolution

 

We provide to our students the opportunity to resolve disputes of a serious nature in a fair, reasonable and equitable manner.   

 

Student Disputes Procedures: 

 

When a concern arises, the student should first attempt to address it with the individual most directly involved.  If unsatisfied with the outcome, the student should submit a written complaint to the CFI.  In case of the dispute is with the CFI the written complaint shall be submitted to the School President and CEO.  

 

The CFI will arrange to meet with the student to discuss the concern as soon as possible and within five school days of receiving the student’s written complaint.   

 

Following the meeting with the student, the CFI will conduct whatever enquiries and/or investigations are necessary and provide a written response to the student that includes reasons for the determination of the complaint.  The written reasons will be provided no later than ten school days following the receipt of the student’s written complaint. 

 

If the student is not satisfied with the determination of the CFI, the student must advise the CFI in writing within five school days of being informed of the determination. The CFI will immediately refer the matter to the School President and CEO. 

 

The School President and CEO will review the matter and meet with the student within five school days. If the dispute is the concern about academic issues, the proper instructor will be involved for the resolution. The determination will be notified to the student within ten school days.  At this point the School’s Dispute Resolution Process will be considered exhausted.  

 

The student and the CFI personnel involved shall receive a written summary of the above determination. A copy of all documentation relating to every student’s complaint should be signed by all parties. A copy shall be given to the student, a copy will be placed in the school’s Student Dispute File, and the original will be placed in the student file.

 

Students making a complaint may be represented by an agent or a lawyer.  

Students will not be subject to any retaliation as a result of their complaint.   

 

After having exhausted the dispute resolution process, a student may file a claim with the Alberta Advanced Education's Private Career Colleges branch https://privatecareercolleges.alberta.caon the basis that the institution misled the student regarding any significant aspect of an approved program. 

 

Language Proficiency

The aviation language skill test evaluates a candidate’s language abilities in an aeronautical environment. A student won’t be allowed to solo without passing this evaluation with at least a level “operational English” ( ICAO Level 4 ).

English has been established as the standardized and official language which must be used in aviation everywhere in the world when the ICAO (International Civil Aviation Organization) was created in 1944. A standardized language insure flight operations safety on the ground as well as in the air.
